These Terms and Conditions (“the Terms”) form a legally binding agreement between the guest named on the booking (“the Lead Guest”) and the owners of The Stables at Romaldkirk Hall (“the Property”, “we”, “us” or “our”). By making a booking you confirm that you have read, understood, and agree to be bound by these Terms on behalf of yourself and all members of your party.
The Stables at Romaldkirk Hall is an exclusively let, luxury self-catering property situated in the historic village of Romaldkirk, Teesdale, County Durham. The property comprises three en-suite bedrooms and accommodates a maximum of six guests. It is let on a self-catering basis for short-stay leisure breaks only.
2.1 A booking is confirmed only upon receipt of the required deposit and our written confirmation to the Lead Guest.
2.2 The Lead Guest must be aged 18 or over and must be part of the travelling party for the duration of the stay.
2.3 By submitting a booking you warrant that all information provided is accurate, that you have authority to accept these Terms on behalf of all guests, and that all guests have been made aware of these Terms.
3.1 A non-refundable deposit of 25% of the total booking value is required at the time of booking to secure your dates.
3.2 The balance of the total rental cost is due no later than eight (8) weeks prior to the arrival date. Bookings made within eight weeks of arrival require payment in full at the time of booking.
3.3 Failure to pay the balance by the due date may result in cancellation of the booking and forfeiture of the deposit.
4.1 All cancellations must be notified to us in writing by email to ivan@geoacarter.co.uk.
4.2 The following cancellation charges apply:
• Cancellation more than 8 weeks before arrival: loss of deposit only.
• Cancellation between 4 and 8 weeks before arrival: 50% of the total rental cost.
• Cancellation within 4 weeks of arrival: 100% of the total rental cost.
4.3 We strongly recommend that all guests arrange comprehensive travel insurance including cancellation cover prior to arrival.
5.1 In the unlikely event that we are required to cancel your booking due to circumstances beyond our reasonable control, we will notify you as soon as practicable and refund all monies paid in full. We shall have no further liability to you.
5.2 We reserve the right to decline or cancel any booking at our sole discretion. In such cases a full refund of all monies paid will be issued.
6.1 The maximum permitted occupancy of the Property is six (6) persons at any one time. This limit is strictly enforced and may not be exceeded under any circumstances.
6.2 Only the guests named on the booking confirmation are permitted to stay overnight at the Property. Day visitors must be agreed in advance with the owners.
6.3 The Lead Guest is responsible for ensuring that all members of the party comply with these Terms throughout the stay.
7.1 THE STABLES AT ROMALDKIRK HALL IS A LUXURY RETREAT. IT IS NOT A PARTY VENUE. THE FOLLOWING ARE STRICTLY PROHIBITED:
• Hen parties, stag parties, or similar pre-wedding celebrations of any nature.
• Birthday parties, celebrations or gatherings where non-resident guests are invited to the Property.
• Ticketed or commercial events of any kind.
• Any gathering that results in noise, disruption or nuisance to neighbouring residents or the wider village.
7.2 Any booking found to be or becoming a party or celebratory event in breach of these Terms will be terminated immediately without refund and the party will be required to vacate the Property forthwith.
7.3 We reserve the right to ask questions about the nature of your stay prior to confirming any booking. Misrepresentation of the purpose of a stay will result in immediate termination without refund.
8.1 The Property is situated within a quiet, residential village community. Guests are expected to be considerate neighbours at all times.
8.2 Unreasonable noise levels are not permitted, particularly between the hours of 10:00pm and 8:00am.
8.3 Any complaint from neighbouring residents about noise or antisocial behaviour may result in immediate termination of the booking without refund.
9.1 Smoking and vaping are strictly prohibited throughout the interior of the Property, including all bedrooms, living areas, bathrooms and outbuildings.
9.2 Smoking is not permitted anywhere on the Property grounds.
9.3 Any evidence of smoking or vaping inside the Property will result in an additional deep-cleaning charge of no less than £250, which the Lead Guest hereby agrees to pay.
10.1 Pets of any kind are strictly not permitted at the Property. This policy applies to all animals including, but not limited to, dogs, cats, and other domestic animals.
10.2 Evidence of an undisclosed pet having been at the Property will result in an additional deep-cleaning charge of no less than £250, which the Lead Guest hereby agrees to pay, and may result in immediate termination of the booking without refund.
11.1 A refundable security deposit of £350 is required and will be collected separately. This will be returned within fourteen (14) days of departure, less any deductions for damages, additional cleaning costs, or other charges arising from the stay.
11.2 The Lead Guest is responsible for the cost of repair or replacement of any items damaged, broken or lost during the stay, whether caused by themselves or any member of their party.
11.3 We reserve the right to charge the Lead Guest’s payment card for any costs that exceed the security deposit, or where the deposit is insufficient to cover the damage incurred. The Lead Guest provides their payment details as a guarantee of this obligation.
11.4 We reserve the right to pursue the Lead Guest through civil process for costs that cannot be recovered otherwise.
12.1 Check-in time is from 4:00pm on the day of arrival. Early check-in may be available by prior arrangement only and cannot be guaranteed.
12.2 Check-out time is 10:00am on the day of departure. Late check-out may be available by prior arrangement only and cannot be guaranteed.
12.3 Failure to vacate the Property by 10:00am without prior agreement may result in an additional charge equal to one night’s rental.
13.1 Guests are required to leave the Property in a clean and tidy condition, returning all items to their original location and disposing of all rubbish appropriately.
13.2 An additional cleaning charge of no less than £[INSERT AMOUNT] may be applied if the Property requires excessive cleaning beyond normal standards.
13.3 Guests must not move furniture, fixtures or fittings, nor make any alteration to the Property of any kind.
13.4 All windows and doors must be secured upon departure.
14.1 The owners shall not be liable for any loss, damage, injury or expense suffered by guests or their party arising from their stay, except where such loss arises from the owners’ negligence or breach of duty.
14.2 Guests accept sole responsibility for their personal belongings and are advised to arrange adequate personal travel insurance.
14.3 The owners shall not be liable for any failure to provide the Property due to circumstances beyond their reasonable control, including but not limited to fire, flood, structural damage, or government action.
15.1 Guests must permit the owners or their authorised representatives reasonable access to the Property to carry out essential maintenance or inspection, providing notice is given except in the case of emergency.
16.1 Complimentary fast WiFi is provided for reasonable domestic use only. Guests must not use the internet connection for any illegal purpose, including but not limited to unlawful downloading or streaming of content.
17.1 Personal data provided at the time of booking will be held and processed in accordance with UK data protection legislation and our Privacy Policy, available on request. Data will be used solely for the purpose of managing your booking and, where consent is given, for marketing communications.
18.1 Any complaint or concern regarding the Property must be raised with us immediately during the stay to allow us the opportunity to address it. Complaints raised only after departure will not be eligible for compensation.
19.1 These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any dispute arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.
